    Working with multiple sites

    What follows the venue you have active and what covers the whole organisation: dashboard figures, wine cards, replenishment, suppliers, My Assistant and stock transfers.

    Quick answer

    • Every venue in your organisation is a Site. The active venue in the header decides which venue you are looking at.
    • Stock, prices, the dashboard, replenishment suggestions, wine cards and My Assistant all follow the active venue.
    • Team, roles, suppliers and your wine catalogue are shared by the whole organisation. Prices, glass volumes, pricing rules and the preferred supplier per wine can be overridden per venue.
    • Moving bottles between venues is a transfer, not a sale. The cost of the bottles travels with them.

    If you are still deciding whether a second venue should be a Site or a separate Organisation, read Organization vs Site first. A private collection next to a business is a second Organisation, not a Site.

    The active venue

    The header shows the venue you are working in. With one venue it is a label; with several it is a switcher. Vinius opens on your default venue, which an owner or admin sets per member under site access, and remembers the venue you switched to for the rest of your session.

    What follows the active venue:

    • Stock counts, storage locations and lots in WineHub.
    • Prices. A venue uses its own price for a wine when it has one, and the organisation-wide price otherwise.
    • The dashboard, see below.
    • Replenishment suggestions and the reorder alert card.
    • The wines, stock and prices a wine card shows, unless the card is set to the whole organisation.
    • My Assistant. The AI sees the wines, stock and storage locations of the active venue, so a colleague at one venue is not offered bottles kept at another.

    What is shared across venues: the wine catalogue itself, members and roles, the supplier directory, wine card designs and your organisation preferences.

    Dashboard figures

    The dashboard describes one venue at a time: the active one. Stock value, bottle counts, sales, margin, the movement chart, cellar health and the reorder alert all refer to that venue.

    Organisations with several venues get a switch at the top of the dashboard: This venue or All venues. All venues adds the figures of every venue together. Your choice is remembered on that device.

    Sales and movements are placed at a venue through the stock lot they came from. A movement recorded without a lot cannot be placed at a venue and only appears in the all-venues view. The monthly sales email always covers the whole organisation.

    Wine cards per venue

    A wine card belongs to a venue, or to the whole organisation. You choose this in the card's settings under Venue; a new card starts on your active venue. Stock counts, the wines offered in the picker, the prices on the card and the published PDF follow the card's own venue, not the venue you happen to have active while editing.

    A digital wine card must belong to a venue, and each venue has exactly one. Each card keeps its own published PDF, so two venues can both have a live QR menu. See Managing wine cards and The digital wine card.

    Orders and suppliers

    Replenishment suggestions are calculated for the venue selected on the ordering page, which starts as your active venue. When that venue has nothing below its thresholds the list is empty; Vinius does not fill it with wines from other venues.

    An order is delivered to one venue. Received bottles land there, so the delivery venue has to be one you have access to, and only members with access to that venue see the order in the order history.

    The preferred supplier of a wine is an organisation-wide default that a venue can override, which matters when venues buy in different countries. Set the override on the wine's Storage tab under Applies to: choose This venue only to make the venue order from another supplier, or Use organisation default to remove the override.     Transfers between venues

    Moving bottles from one venue to another is a transfer: an owner, admin or manager selects the wine, the source and the destination. Inter-site transfers are not available to staff.

    A transfer takes the bottles out of the source venue's lots and creates a new lot at the destination with the same cost per bottle, so purchase prices and margins stay correct after the move. The movement is recorded as a transfer, never as a sale or a purchase, and it does not count as bottles gained or lost in your organisation's daily figures.

    Who sees which venue

    Owners and admins always see every venue. Managers, staff and viewers see only the venues assigned to them; assign venues per member under site access in Account Settings. A member with no venue assigned lands on a no-access page rather than an empty cellar. See Managing users and access.

    Plan limits

    Free includes one site, Professional two, Premium five and Enterprise as many as you need. An extra site add-on is planned for Premium. See Tier entitlements and plan limits.
