    Purchase prices and Needs pricing

How Vinius works out a wine's purchase price from its delivery lots, why you correct a lot instead of typing a price, and how to clear the Needs pricing list.

    Quick answer

    • Bottles come in as lots, each with its own cost per bottle. Your lot price policy turns a wine's lots at a site into its purchase price; by default it takes the highest cost.
    • To change a purchase price, correct the cost of a lot. Once a wine has lots at a site, its purchase price fields are locked.
    • Needs pricing in the Wine Hub lists wines without a purchase price, deliveries without a cost, costs that look like a list price and wines without a market price.
    • Owners, admins and managers see purchase prices. Staff and viewers never do.

How the purchase price is set

A purchase, an order receipt or an invoice books bottles as a lot at the cost you paid. The Default Lot Price Policy, under Pricing Rules, General Options, decides which cost becomes the purchase price:

    PolicyThe purchase price is
HWM - High Water Mark (default)The highest cost
LPP - Last Purchase PriceThe cost of the newest purchase
FIFO - First In, First OutThe cost of the oldest lot
WAC - Weighted Average CostThe average cost, weighted by the bottles left
LOW - Lowest PriceThe lowest cost

With 12 bottles bought at €14.00 and 6 at €16.50 in stock, HWM gives €16.50, LOW €14.00 and WAC €14.83.

    • Only lots with bottles left and a cost count, unless Include depleted lots in pricing calculations is on.
    • Each site works from its own lots. A site with its own pricing rules uses its own policy.
    • Every stock movement and cost change recalculates the price, and dynamic selling prices follow.

Why the purchase price is locked

A typed price would be overwritten at the next stock change, so Vinius refuses one for a wine with lots at the site. On the wine's Pricing tab the fields are greyed out, with Derived from active inventory lot via your lot price policy. Correct a lot instead:

    • Edit Price on the Pricing tab changes the cost of the lot that sets the price.
    • Edit lot cost on the Storage tab corrects any lot, sold-out ones included, which also fixes your cost of goods. Under WAC, correcting a lot that counts moves the average.

A wine without lots at the site does take a typed price: on the web after you switch on Enable manual entry, in the app directly.

In the app, Edit pricing on a wine shows a line such as Derived from 2 stock lots · Highest purchase price. Tap it, pick the lot, change Cost per bottle (incl. VAT) and tap Save lot cost.

    The Needs pricing list

Open Wine Inventory and choose Needs pricing above the list. The count on the button shows what waits at the site you work in.

    • Added by your team, awaiting setup: wines added without pricing or stock. Complete setup moves them into your inventory.
    • Wines without a purchase price: in your inventory, but without margins or dynamic selling prices. Set price opens the Pricing tab.
    • Deliveries without a cost: the wine has a price, but a delivery was booked before its invoice. Set cost opens that lot on the Storage tab. Sold-out deliveries stay listed, since their cost already counts in your cost of goods.
    • Looks like the list price: the cost equals the supplier's list price while that supplier gives you a discount. The button with the discounted price, such as Use €22.13, corrects it; This is what we paid keeps the cost.
    • Market price missing: wines in stock without a market price that are probably worth more than they cost, because they are 5 or more years old, were bought at €50 or more, or scored 93 or more with critics. Your pricing rules use the purchase price until a market price is known. Look up has Vinius search for one, and I know the price saves your own. A search without a result waits six months, and this list does not add to the count.

A delivery has no cost when, for example, someone booked a purchase and left the price empty, which is allowed. Uploading the invoice of a received order fills in the cost of those bottles: see Adding wines from supplier invoices.

    Pricing many wines at once

Download price sheet, under Wines without a purchase price, gives an Excel file of that list.

    1. Fill in Buying Price Ex. VAT or Buying Price Inc. VAT; with both, the price incl. VAT counts. 12,50 and 12.50 both work.
    2. Add a Selling Price only to fix one: it becomes the wine's manual selling price and switches dynamic pricing off for that wine.
    3. Leave a row empty to leave the wine as it is.
    4. Upload prices shows what will change, and Apply prices saves it.

Only the three yellow price columns can be changed; Variant ID (do not change) links each row to its wine. Rows that cannot be applied are listed with a reason, such as a wine already priced or stock at a site you cannot access. Import refuses the sheet, because it would add the wines to your stock a second time.

List price or the price you paid

A lot's cost is what you paid, after your discount. The supplier's list price is kept apart for the Supplier list price pricing basis: typed as the cost, it raises the purchase price, and that basis then adds your discount on top.

When you book bottles from a supplier, Supplier list price (excl. VAT) and Discount appear next to the price. Type the list price and what you paid follows; both fields are optional. If what you paid equals the list price while you get a discount, Vinius warns you and offers Use with the discounted price. Collectors' own accounts and private sites keep one purchase price, without these fields.
