Quick answer
- My Assistant answers questions against your own inventory, pricing and storage data.
- Pick a working mode (service, purchasing, cellar or training) to set the framing.
- Your monthly message allowance is counted per organization, and resets on the 1st of each month.
What it is grounded in
My Assistant is not a general chatbot with a wine theme. When the data is available it reads your organization's context: inventory, profile, storage and pricing signals, plus any custom instructions you have set. The panel shows which context it is using for the current conversation.
Where data is thin, it says so. If stock levels, storage detail or pricing context are incomplete, it will tell you rather than sounding more certain than the data allows. Treat that as a feature: a confident answer about stock you never entered is worse than no answer.
The four working modes
The mode sets the framing, not the underlying data.
| Mode | What it optimises for |
|---|---|
| Service | Guest-facing recommendations, concise service notes, what to pour tonight |
| Purchasing | Margin, stock movement, reorder risk, buying decisions |
| Cellar | Drink now versus hold, storage awareness, concentration risk |
| Training | Clear explanations and coaching language for the team |
Switching mode mid-conversation is fine. If an answer feels like it is aimed at the wrong audience, the mode is usually why.
Prompts worth starting with
The starter cards cover the questions operators actually ask:
- Build a pre-service wine briefing for tonight
- Create a pairing flight using wines we should move now
- Which wines are at low-stock risk right now?
- Suggest by-the-glass wines that help move stock this week
- What should we pour now versus hold in the cellar?
- Where are the biggest cellar concentration or storage risks?
- Give me a 5-minute staff training topic from our current list
- Teach the team how to explain a style on our list better
You can also ask ordinary wine questions: styles, regions, serving temperatures, glassware, decanting, ageing windows, or simply where a wine is stored.
Conversations are saved, so you can reopen a briefing rather than rebuilding it.
How the monthly allowance is counted
This is the part that causes confusion, so it is worth being precise.
| Plan | Messages per month |
|---|---|
| Free | 10 |
| Professional | 25 |
| Premium | 50 |
| Enterprise | Unlimited |
The rules:
- Counted per message you send, not per conversation. A ten-message conversation uses ten.
- Counted across your whole organization, not per person. If three colleagues each send four messages on the Free plan, the organization has used twelve of its ten and the next message is refused.
- Calendar month, resetting at the start of the month.
- The assistant's opening welcome message does not count.
- A message that is refused because the allowance is used up does not count against it either.
When you hit the limit
You will be told, rather than getting a vague failure. Options:
- Wait for the reset at the start of the next month.
- Upgrade the plan, see Tier entitlements and plan limits.
- An Unlimited My Assistant add-on is planned and currently marked as coming soon.
Because the allowance is shared across the organization, it is worth agreeing internally who uses it for what on the smaller plans. One person running a nightly service briefing will use a Free allowance in three days.
Getting better answers
- Complete your data first. The assistant is only as good as the inventory, pricing and storage records behind it. See Managing storage.
- Be specific. A dish, a price band and a style preference produce a usable answer. "Recommend a wine" does not.
- Set the mode before the question, not after.
