Finding and moving bottles, and the 3D Cellar Twin

Find where a wine's bottles are, place them in a storage unit, move them between units or to another site, and walk through your cellar in 3D in the app.

    Quick answer

    • In the app, Find bottles in a wine's … menu opens its storage unit as a grid with the wine's bottles marked. On the web, the cube next to the location does the same.
    • 3D Cellar Twin, under More in the app, finds a wine as you type and shows its room and storage unit in 3D.
    • Moving bottles between units of one venue only changes where they are. Their lots and cost stay as they were.
    • Only owners, admins and managers move bottles to another site.

    Finding a bottle

In the app. Open the wine, tap … and choose Find bottles, which names the unit holding most of its bottles at your active venue. The pin on the Stock Locations row opens the same sheet, Where are the bottles?: the unit's grid with this wine's slots marked, how many bottles have a slot, and one pill per unit when the wine sits in several. Switch to 3D to see the unit as a rack or cabinet with this wine's bottles glowing. The app remembers your choice.

On the web. In Wine Inventory, the cube next to the name in the Location column opens Where is …? with the unit and the wine's slots. On the wine's Storage tab, Locate (or Locate in 3D) on a row under Stock by Location does the same.

Bottles in General Stock have no place to show. A unit without a layout shows no grid either, so lay it out in the web app first. On the web, the locate button appears once the bottles have slots.

    The 3D Cellar Twin

Open More in the app and tap 3D Cellar Twin under Insights.

    1. Start typing in Which wine are you looking for? Only wines in stock are listed.
    2. Pick one. Vinius opens the place that holds most of its bottles at your active venue: the room with that unit in focus and the bottles lit, or the unit on its own when the room has no floor plan.
    3. When the wine sits in several places, one pill per place switches between them.
    4. Room shows the whole room, Unit the storage unit alone.

Without a wine, pick a room to walk through it.

The Room view needs a floor plan. Draw it with Plan the room in Manage Storage on the web, or on an iPad with the grid button on the room in Manage Storage. A unit appears in 3D once it has a layout.

Placing bottles in a storage unit

    • As they arrive. A Purchase or a Gift has Place in, which lists General Stock and every storage unit at the venue. See Stock adjustments and counts.
    • In the app. In Where are the bottles?, tap Place bottles, tap the slots the bottles are in (a row's name fills the row) and tap Save placement. This works at your active venue; for a unit elsewhere, the app asks you to switch.
    • On the web. Allocate to a storage unit on a wine's row in Wine Inventory, or Allocate on its Storage tab, moves the bottles of that location into a unit and lets you pick their slots. Finish with Save allocation.
    • A whole unit at once. In Manage Storage, open the unit's Place tab on the web, or tap the wine glass button on the unit in the app. Suggest placement (in the app, Suggest) gives bottles without a slot one, sparkling and white in the coldest zone and each wine kept together. Reorganise lays out the whole unit again. Nothing changes until you choose Apply.

    Moving bottles within a venue

On the web, use Transfer on the wine's Storage tab, on the row the bottles leave. Set the quantity, keep the same Site, pick the Storage Unit or General Stock, and add a reason if it helps.

In the app, tap … and Move bottles. Pick the From Location and the To Location, set the Quantity to Transfer or tap Move all, then tap Transfer.

Inside a venue only the place changes: the bottles keep their lots and cost. They arrive without a slot, so place them afterwards. You always move from your active venue, so switch venue first to move bottles kept elsewhere.

    Moving bottles to another site

Owners, admins and managers can send bottles to any other site they have access to. On the web, choose that Site in the transfer window, which then explains Transfer to another site. In the app, the other site's units are listed under their own heading, marked Different site, and the app asks you to confirm.

Each lot the bottles come from arrives as a lot of its own, with the same cost, purchase date and supplier. The move is recorded as a transfer, never as a sale or a purchase. Moving between a private site and a business site is allowed, and the web app warns that the bottles leave or join your business totals. See Working with multiple sites.
