    Using labels to organise and filter wines

    Create reusable labels, apply them to one wine or in bulk, filter inventory by them, and turn a label into its own wine card category.

    Quick answer

    Labels are reusable tags shared across your organization. Use them for practical groupings that standard fields such as country, region, style, grape, site or storage location do not cover. Common examples:

    • Non-Alcoholic
    • House Selection
    • Cellar Leftovers
    • Exclusive Wines
    • Staff Training

    Once a label exists you can use it in four places:

    1. Apply it to one wine from the wine's Labels tab.
    2. Apply it to many wines from the WineHub inventory overview.
    3. Filter the inventory from Advanced Search.
    4. Show the label as its own category on a wine card.

    When to use labels

    Use labels for repeatable business meaning. A good label helps the team answer a question quickly:

    • Which wines are non-alcoholic?
    • Which wines should appear in a special curated section?
    • Which bottles should be highlighted for a temporary campaign?
    • Which wines belong to a service category specific to your organization?

    Keep label names short and consistent. Avoid near-duplicates such as Exclusive, Exclusive Wine and Exclusive Wines unless they genuinely mean different things.

    Step 1: create a new label

    1. Open Settings from the bottom-left area of the app.
    2. Go to Account Settings.
    3. Select the Labels tab.
    4. In New Label, enter the name you want to create.
    5. Click Create Label.

    The label appears under Existing Labels and becomes available to everyone in your organization who can apply labels to wines.

    Step 2: apply a label to one wine

    1. Open the wine in WineHub.
    2. Click Edit, or open the wine edit page.
    3. Select the Labels tab.
    4. Choose the labels that should apply to this wine.
    5. Click Save labels on this wine.

    This updates only the wine you are editing. To label multiple vintages, bottle sizes or search results at once, use the bulk workflow below.

    Alternative: apply labels in bulk

    Bulk labelling is useful when a full set of search results should receive the same label.

    1. Open the WineHub inventory overview.
    2. Use search, filters or Advanced Search to narrow the list to the wines you want.
    3. Click Labels above the inventory table.
    4. Choose the scope:
      • Selected rows updates only the rows you selected on the current page.
      • All filtered results updates every wine matching the current filters, even those not visible on the current page.
    5. Choose the apply mode:
      • Append to existing labels adds the selected labels and keeps any labels already on the wines.
      • Replace existing labels removes the current labels and sets the selected labels as the new set.
    6. Select one or more labels.
    7. Click Apply Label and confirm the update.

    Use Append to existing labels when you are adding an extra category. Use Replace existing labels only when you intentionally want to reset the label set for the wines in scope.

    Step 3: search or filter by label

    1. Open the WineHub inventory overview.
    2. Click Advanced Search.
    3. Find the Labels section.
    4. Select one or more labels.
    5. Apply the search.

    Label filters combine with normal filters such as site, location, style, grape, vintage, bottle size or price range. That makes it easy to find all Exclusive Wines in one venue, or every Non-Alcoholic wine currently in stock.

    Step 4: use a label as a wine card category

    Labels can become visible categories on a wine card, which is useful when a section such as Exclusive Wines or Non-Alcoholic should appear as its own part of the list.

    1. Make sure the wines with that label are included in the wine card.
    2. Open Wine Cards.
    3. Select the list you want to edit.
    4. Open Manage Categories.
    5. Click Regenerate if the label category does not appear yet.
    6. Find the label category.
    7. Enable the category with the checkbox.
    8. Drag it to the position you want.
    9. Optionally enable New Page if the category should start on a separate page in the PDF.
    10. Click Save in Manage Categories, then save the wine card changes.

    New label-based categories are generated hidden by default, so enabling the checkbox is required before they appear on the wine card or PDF.

    Troubleshooting

    I do not see the Labels tab in Account Settings

    Your role may not have permission to manage organization labels. Ask an owner, admin or manager with label-library access to create the label for you.

    A label does not appear on the wine edit page

    Create the label in Account Settings -> Labels first. If the label was just created, refresh the wine edit page and open the Labels tab again.

    Bulk labelling does not update any wines

    Check the selected scope. Selected rows requires selected table rows. All filtered results requires at least one wine matching the current filters. Also make sure at least one label is selected before clicking Apply Label.

    The label category does not appear in Manage Categories

    The wine card must contain wines that already have that label. Add the labelled wines to the list, open Manage Categories, and click Regenerate. New label categories are hidden by default, so enable the category before saving.
