    Your ordering terms and your customers

    Set the ordering terms you give every venue, see the venues that order from you through Vinius, and the terms each of them orders on.

    Quick answer

    • In Company, the Ordering terms tab holds what you give every customer unless you agreed otherwise: minimum order, free delivery from, delivery fee, payment terms, lead time and whether you sell by the case.
    • Set them once for all countries, and add a country where your terms differ. Terms for one country win over the terms for all countries.
    • Venues that entered no terms of their own order on yours straight away, on the web and on the phone. A venue's own terms always win over your general terms.
    • Customers lists the venues that ordered from you through Vinius since your claim was verified, with their orders, the sites that ordered and who placed the orders.
    • Owners and admins can set one customer's own discount and ordering terms from your portal, and different terms for one of its sites that ordered from you. Once you are verified, venues can no longer change these terms themselves: you manage them.

    Your ordering terms

    Open Company and the Ordering terms tab. Until you save terms there, the tab shows an orange dot and a notice, and Home lists Set your ordering terms as a step.

    Free delivery fromFrom this amount excl. VAT the delivery is free. Below it, the screens show how much is still needed.

    Payment termsShown with the order, for example Net 30 days.
    Lead timeWorking days from order to delivery, used when venues plan their reorders.
    Sells byThe bottle, or cases of 3, 6, 12 or 24: wines without a case size of their own are suggested in whole cases. Set once, for every country.

    Choose the currency you invoice in at the top. Amounts only apply to venues that order in the same currency.

    When you save, the venues that rely on a term you changed get one email listing what changed. Venues that entered their own value for that term are not told about it.

    Your customers

    Open Customers. A venue appears once it has sent you an order through Vinius since your claim was verified. A venue that only added you to its supplier list does not appear. Search by name, filter by whose terms a customer orders on, and sort by last order or by number of orders. Orders opens that customer's orders, Open its page.

    The Terms column says whose terms each customer orders on:

    Open a customer to see:

    • its orders through Vinius, what they came to and when it last ordered, with a link to those orders in Orders;
    • the sites that ordered from you, with the delivery address on their orders;
    • the people who placed the orders;
    • per term, the value its order screens use and where it comes from: your general terms, set by you or entered by the customer, with the history of changes.

    You never see anything else from the venue's supplier records, its other suppliers or its stock.

    Setting a customer's terms

    At the top of the customer's terms, a box says in words whose terms apply. When none do, it says whether you have no general terms yet, or your general terms do not cover this customer: amounts only apply in the customer's currency, and a country's terms only to that country.

    Owners and admins of your organisation can set one customer's discount and ordering terms, or put the customer back on your general terms with Use my general terms. That button only shows when the customer has terms of its own to clear. The venue is told by email and cannot change them itself: venues see the terms you manage read-only, so set only what you agreed with them. Every change shows in the history.

    Terms for one site

    A customer with several sites may need different terms at one of them, for example a higher delivery fee for a site far away. Under Terms per site on the customer's page you see each site that ordered from you. Owners and admins click Edit site terms and set the minimum order, free delivery from, delivery fee or payment terms for that site.

    • Leave a field empty and the site follows the customer's terms for it.
    • The discount is set for the whole customer, not per site.
    • Use the customer's terms removes what you set for the site.
    • Only sites that sent you an order appear. Sites of the customer that never ordered from you stay invisible to you.

    The venue gets an email naming the site, sees these terms read-only, and every change shows in the history with the site's name.
