Quick answer
- Vinius holds two kinds of data: your personal data, which follows you, and your organization's wine and business data, which stays with the organization.
- Get a copy under Settings, Account on the web, or Account and privacy in the phone app.
- Delete your account from the same places. It is permanent and signs you out at once; your work for the organization stays, without your name.
- As the only owner of an organization, make someone else an owner first, or write to the privacy contact. Vinius will not delete your account automatically.
- The privacy policy has the full rules and the privacy contact.
What Vinius keeps about you
Personal data is yours, whichever organization you work in:
- your profile, preferences and notification settings
- tasting notes, endorsements, and your guesses and notes at blind tastings
- your wishlist and Vinius Points
- your My Assistant conversations
- followers, community posts, club memberships, and your public profile with its reviews
- your organization memberships, roles and site access
- the API tokens you created and the policies you accepted
Wine and business data belongs to the organization: wines, stock and movements, lots, prices, wine cards and orders. Some of it records who did what, such as who booked a stock movement.
Vinius also notes which features you use, never your wine data, prices, supplier terms or customer details. To stop it on a device, switch off Share usage analytics: on the web under Settings, Account, on the phone under Account and privacy.
Download a copy
Web: Settings, tab Account, then Download my data in the Your data card. You get a ZIP file with account.json, a structured file other software can read, and a short README.
Phone: More, Settings, Account and privacy, then Email me a link. The link goes to the email address on your account, works once and expires after 60 minutes, so open it on a computer and choose Download my data.
The copy holds your personal data only, and lists API tokens without their secret part. You can ask five times an hour, web and phone together; after that the phone says Too many requests.
Delete your account
Web: Settings, Account, then Delete my account at the bottom of the page. Phone: More, Settings, Account and privacy, Delete account. Either way, type the email address of your account to confirm.
Deleted for good:
- profile, preferences and notification settings
- tasting notes, endorsements, and your guesses and notes at blind tastings
- wishlist, Vinius Points and My Assistant conversations
- followers, community posts, club memberships, public profile and reviews
- invitations to Vinius that you sent
- every organization membership, role, site access and API token
- your Vinius sign-in, so you are signed out on every device, and your usage analytics
Kept by the organization, without your name:
- wines, stock movements, label scans and wine cards you created
- orders you started; where Vinius showed who started one, it now reads Former user
- messages you sent to other people, which stay in their conversations
- a blind tasting you hosted, which stays for the other tasters without host or location
Vinius keeps a record that the deletion happened, with no name or email address in it, as proof that it was carried out.
When you are the only owner
If you are an organization's only owner, Vinius stops before anything is deleted. The web says your account cannot be deleted automatically; the phone shows Transfer ownership first.
- Other members: make one of them an owner on the web, under Settings, Users, Edit Role, then delete your account.
- Nobody else, for example in your own private cellar: write to the privacy contact in the privacy policy, and the request is handled by hand. If you belong to another organization as well, you can first remove the one you run alone with Delete Organization & Leave.
Leaving an organization
On the web, open Settings, tab Organization, and choose Leave Organization. You lose access to its wines and data, the organization keeps all of it, and your account stays. If it was your only organization, Vinius creates a personal collection for you.
- The last owner or admin can only leave once another owner or admin has been added.
- The last member leaves through Delete Organization & Leave, which permanently deletes the organization and all its data.
- A member removed by an owner or admin loses access the same way, and Vinius tells them by email and in the app.
How long things are kept
- Personal data: as long as your account exists.
- Wine and business data: as long as the organization exists, whether or not your account does.
- Download links: 60 minutes, one use.
- Newsletter sign-ups on the website: deleted 30 days after signing up if never confirmed, otherwise 30 days after you unsubscribe.
Who can do it
- Every role (owner, admin, manager, staff, viewer) can download a copy, switch off usage analytics and delete their own account, on the web and the phone.
- Leaving an organization is open to every role too, on the web only.
- Owners make other members owners. Owners and admins remove members on the web; removing an owner or admin takes an owner.
